Post-Onboarding: Non-Salaried Visiting Graduate Students and Visiting Scholars

Thank you for completing your onboarding paperwork! The Academic Resource Center will process your paperwork in the coming days and make sure you're eligible to begin academic activities by your start date. Additionally, there are several other steps that you'll need to complete as outlined below. If you have any questions, please contact the ARC analyst assigned to your case.

The post-onboarding email sent by your ARC Analyst should contain your UC San Diego email address and a temporary password. Follow the steps below to gain access to your email account:

  1. Sign the online Computer Security and Use Statement. If you do not have a social security number, please fill out the last 4 numbers of your social security number as "9999".
  2. Make sure to change the temporary password of your UCSD Email Address using the Active Directory Password Tool.
  3. Log in using your email address and new password using the UC San Diego WebMail Portal.

If you're experiencing difficulties setting up your UC San Diego email address, selecting a new password, or are having any other technical difficulties, please reach out to the ITS help desk either via email at acthelp@ucsd.edu or via telephone at (858) 534-4357. Please note that, in order to change your password, help desk staff will need to verify your identity over the phone.

All UCSD affiliates are required to have an ID card during their appointment here with the University.  Take the ID Request Form attached to your post-onboarding email from ARC to the office listed on the form. Please note that you will not be getting an "Employee ID" number, the Campus Card office listed on the form will generate an "Affiliate ID" number which you will be using as your identification for your duration at UCSD.

Checking In

The International Center acts as the primary resource for students from other nations who have been invited to study at UC San Diego. As such, checking in at the International Center is required for all individuals on International status.

Orientation

The International Center conducts orientations for incoming international students at UC San Diego. Attendance is required for all individuals on a J-1 or H-1B visa status.

It is required that all Visiting Scholars and Visiting Graduate Students have full health insurance coverage during their visit at UC San Diego.

All Visiting Scholars and Visiting Graduate Students must sign up for benefits during their Period of Initial Eligibility (PIE). This period begins on your date of hire and ends 31 days later at midnight.

There is no required UCSD-wide training for your new affiliation.

There may be some lab-specific training requirements - please work with your PI or Lab Manager to ensure you are meeting lab compliance requirements. You may set up these trainings through myhscourses@ucsd.edu and enroll in classes here.

Non-Salaried Visiting Scholars and Visiting Graduate Students need to register to get a library borrowing card by providing the following documentation: A completed UC San Diego Library Borrowing Card Registration Form. A letter on UC San Diego departmental letterhead with the visiting scholar's name and appointment status (Faculty or Graduate), the beginning and ending dates of the appointment, the sponsoring department's budget number, and a departmental contact with phone extension. Valid government-issued photo identification. These documents can be presented at the Geisel Library and at the Biomedical Library Building for card issuance. Please note that borrowing cards cannot be issued within 30 minutes of library close.
